Industry: Staffing and Recruiting
Use Case: Optimizing Contract and Invoicing Operations
Product Hiring House’s Challenge: Managing fragmented workflows across contracts, invoicing, and reporting
Intelizen’s Role: Centralizing contracts and automating invoicing with actionable insights
Product Hiring House (PHH) partners with startups to build Product, Design, and Engineering teams, helping companies find top candidates who align with their goals. With a mission to transform the hiring landscape and a belief that team building should be more intentional, they apply tailored strategies to connect growing businesses with the right talent.
While their recruiting processes were modern and customized, some of their backend operations weren’t keeping up. Key processes around managing contracts, signatures, and billing needed improvement. So, PHH turned to Intelizen for solutions tailored to fit how they work.
Managing document workflows involves more than just signing. Between drafting, sending, signing, and invoicing, there are plenty of steps that don’t always run smoothly. PHH used Google Docs to customize contracts, exported them to PDFs, then uploaded them to a separate platform for signatures. Once signed, invoices were sent through Bill.com, with various members of the finance team looped in to manage payment. The process worked, but it was slow, fragmented, and relied heavily on various systems.
While Intelizen already offered e-signature functionality, new customizable fields and inputs were added to align with PHH’s specific needs. From there, Intelizen helped PHH move their entire contract process under one roof. With Google Drive integration synced up, PHH’s contracts are now imported, signed, and stored directly within Intelizen. This reduces disjointed platform switching and gives all teams access to a single, centralized location.
With each contract tied to payment and various types of fees in play, PHH had multiple streams to manage. Jumping between disconnected platforms made the process inefficient and prone to delays. They needed a smoother contract-to-invoice flow to simplify how billing gets done.
Intelizen addressed these invoicing challenges by building a direct integration with Bill.com. This made it possible for PHH to include specific billing details, like placement fees, directly in their invoices. By connecting everything in one place, Intelizen cut down the process from multiple steps across platforms to just a few simple clicks, making it easier to initiate and track payments.
PHH had a clear understanding of how different contract structures and client types could impact revenue, but they needed better data to back those insights. By not having reporting that surfaced trends in contract value and performance across client types, it made it harder to forecast revenue or make data-backed decisions about where to focus next.
Intelizen surfaces patterns across contract values and deal structures, making it easier to report data in a way that matches how PHH operates. These insights help turn instincts into strategy, which lays the groundwork for better forecasting and clearer long-term planning rooted in data.
PHH no longer has to deal with disjointed tools and repetitive manual steps just to manage contracts and billing. With Intelizen, their contract-to-invoice flow is quicker, smoother, and built around how they actually work.
From customized eSignature fields to integrated invoicing and actionable insights, PHH now has the operational foundation to match the precision of their recruiting. After all, if they’re delivering tailored solutions for their clients, they deserve the same behind the scenes.
